WhatsApp Lead Follow-Up Template

A short, conversational WhatsApp message for following up with an inbound lead — written the way people actually text, not like a marketing email pasted into a chat app.

When to use this

Use this within the first hour or two after a lead comes in from a form, ad, or marketplace listing — WhatsApp response speed matters enormously, and leads contacted within minutes convert at far higher rates than those left overnight. It’s built for consumer-facing and high-touch B2B contexts common in real estate, ecommerce, and home services, where prospects expect a quick, human reply rather than a formal email.

Why it works

WhatsApp is a conversational channel, and messages that read like a marketing email — long paragraphs, formal greetings, a signature block — feel out of place and get ignored. This template is short, asks one clear question, and sounds like a real person typed it on their phone. It also front-loads the specific thing the lead asked about, which proves you’re responding to them and not sending a canned blast. Keep responses this brief throughout the conversation; WhatsApp threads that turn into a wall of text lose replies fast.

The template

Hi [First Name]! This is [Your Name] from [Company Name] 👋

Saw you were interested in [Product/Listing/Service they inquired about] — happy to help.

Quick question so I can point you in the right direction: are you looking to [Option A, e.g., “move in within the next 3 months”] or just exploring options for now?

Follow-up if no reply after 24 hours:

Hi [First Name], just following up in case my last message got buried! Still happy to answer any questions about [Product/Service] whenever’s convenient. 🙂

Follow-up if no reply after 4-5 days (final check-in):

Hi [First Name] — totally understand if the timing isn’t right. I’ll leave this here for now, but feel free to message anytime if [Their Pain Point] becomes a priority again.

Customization tips

  • Keep every message under 3 sentences. If you need more space, ask a question and let the conversation unfold over multiple messages instead of one long block.
  • Use the lead’s name and the specific item they inquired about in the first message — generic “Hi, thanks for your interest!” messages get much lower reply rates.
  • Match their language and formality level in your reply (including whether they used formal or casual phrasing) — WhatsApp is a casual channel and over-formal replies feel like a bot.
